How to Create Auto Assignments

How to Create Auto Assignments

Auto Assignments allow Nurture to automatically assign congregants to specific users when they reach a particular engagement level. This ensures the right people are notified and follow-up happens consistently without requiring manual assignment.

For example:

  • Assign all At Risk Attendance congregants to a Campus Pastor.
  • Assign all At Risk Group Members to a Small Groups Director.
  • Assign all First-Time Guests to a Connections Team member.
  • Assign all At Risk Givers to a Stewardship Pastor.

Once configured, Nurture automatically creates the assignment whenever a congregant meets the selected criteria.

What Are Auto Assignments?

Auto Assignments use a combination of:

  • Engagement Category
  • Engagement Level
  • Filter Criteria
  • Assigned Users

When a congregant matches the configured rules, Nurture automatically assigns them to the selected user(s).

This eliminates the need to manually monitor Alerts and Opportunities and helps ensure every person receives timely follow-up.

Creating an Auto Assignment

Step 1: Navigate to Auto Assignments

Go to:

Settings → Auto Assignments

You will see all existing assignment rules and the option to create a new one.

Step 2: Select "Add First Rule" or "Add Rule"

Choose the engagement category you would like to automate.

Available categories include:

  • Attendance
  • Serving
  • Groups
  • Giving
  • Communication
  • Discipleship

Step 3: Choose an Engagement Category

Select the category you want the rule to monitor.

Examples:

Attendance

Automatically assign people who become At Risk or Disengaged in attendance.

Groups

Automatically assign people who stop attending groups.

Serving

Automatically assign volunteers who have become disengaged.

Giving

Automatically assign donors who have stopped giving.

Step 4: Select an Engagement Level

Choose the engagement level that will trigger the assignment.

Examples:

  • New
  • Active
  • At Risk
  • Disengaged
  • Inactive

Step 5: Build Your Filter Criteria

Auto Assignments can use filters to narrow who should be assigned.

This allows you to create highly targeted assignment rules.

Available Filter Examples

Baptism Status

Assign only baptized individuals.

Group Participation

Assign only people participating in specific groups.

Serving Status

Assign only active volunteers.

Membership Status

Assign only members.

Demographics

Assign based on:

  • Campus
  • Age
  • Gender
  • Life stage
  • Custom fields

Last Touchpoint

Assign based on recent communication activity.

Example Rule

Attendance → At Risk

Filter:

  • Campus = South Campus
  • Membership Status = Member

Assigned To:

  • South Campus Pastor

Result:

Whenever a South Campus member becomes At Risk in Attendance, Nurture automatically creates an assignment for the South Campus Pastor.

Step 6: Select Users

Under the Users section:

  1. Search for the user you want assigned.
  2. Select one users.
  3. Save the rule.

These users will automatically receive assignments when people meet the criteria.

Volunteer Coordinator

Giving

Stewardship Team

Discipleship

Discipleship Pastor

This prevents assignments from falling through the cracks.

Use Filters Strategically

Instead of assigning everyone to the same user, use filters to divide responsibility by:

  • Campus
  • Ministry
  • Group
  • Demographic
  • Membership Status

This creates more manageable workloads and better follow-up.

Start Simple

Begin with a few high-impact rules such as:

  • First-Time Guests
  • At Risk Attendance
  • Disengaged Groups

Once your team is comfortable, expand into more advanced automation.

Frequently Asked Questions

Can I assign multiple users?

No. Multiple users cannot be added to an Auto Assignment rule.

Can I use filters?

Yes. Filters are one of the most powerful parts of Auto Assignments and allow you to create highly targeted workflows.

What happens when someone matches the criteria?

Nurture automatically creates the assignment and routes it to the selected user.

Can I have multiple rules for the same engagement category?

Yes. Many churches create separate rules by campus, ministry area, or demographic group.

Ministry Strategy

The goal of Auto Assignments is not simply automation—it's accountability.

Healthy churches create clear ownership around care and follow-up. Auto Assignments ensure that when someone needs attention, the right leader is notified automatically and can take action quickly.

By combining engagement levels with filters, your church can build a scalable care system that helps every person stay connected, known, and supported throughout their journey.
